Financial Policies
As a convinience to our customers, Champions uses iClassPro management software for online registration. Keep in mind, when you click “Complete Transaction” you have completed the enrollment process, as well as authorized payment for the non-refundable tuition and fees.
Atfer requesting enrollment in class, ALL fees as outlined in the policies below will be processed for immediate enrollment in the next available class. I further understand by clicking on the box in the portal that says “I acknowledge and agree to the Billing Authorization” that I give my permission to process all fees outlined and that these fees are non-refundable without exception.
If you have any questions, it’s recommended that you call the front desk at Champions Westlake (512- 426-1990) or Champions 1826 (512-960-5050) for assistance before you submit your request.
Regular Season (August – May)
AUTOPAY: Class tuition is drafted through autopay on the 1st day of each month prior to the billing month. If the card on file for your account is declined, a phone call and/or email will be sent requesting updated information. The child’s spot in class will be released on accounts not paid by the 15th of each billing month. Please be sure your credit card information and email on file for your account are correct and up to date.
Note: We require that you keep a credit card for your auto payments. Any bank charges or fees generated by the use of a debit card (instead of a credit card) are the sole responsibility of the customer.
CASH/CHECK: Payments are due on or before the 1st day of each month prior to the billing month. It is the customer’s responsibility to make sure the payment is received before the due date. Statements will not be sent out.
LATE FEES: Statements are not sent out, however, a staff member will contact you about payments if yours has been declined. Any payment not received by the 10th of the billing month will incur a $10 late fee. Accounts not paid by the 15th of the billing month will lose their enrollment in class.
DECLINED CREDIT CARD PAYMENTS: Understanding that credit cards can be expired, or cancelled due to fraud or other circumstances, we have dedicated staff time to contacting those whose cards have declined each month. Please ensure that your information is always up to date and accurate to avoid any late fees or class removals. Credit cards may be updated by the customer through your Parent Portal. If your credit card is declined more than once during a season, there is a $10 service fee per occurrence.
Please refer to your parent portal for up-to-date pricing on recreational class tuitions for both locations.
For consistency and convenience, monthly payments are the same regardless of the number of classes in the billing cycle. We do not prorate months with gym closure days due to holiday or unforeseen closure. No refunds or adjustments are made for absences. Refer to our makeup policies for information on absences. Monthly tuition is non-refundable and non-transferrable.
Tuition is calculated as follows: Total number of classes (or remaining classes in the season) x hourly class rate = total tuition due
Hourly class rate varies by program. Total number of classes does take into account planned holidays and closures.
For team programs, please reach out to our Team Accounts Manager at teamaccounts@championswestlake.com for inquires about team finances.
There is a $100 fee charged upon enrollment (Military discounts available). This fee is non-refundable and non-transferrable. It is paid only once in the year (August to August), and covers a t-shirt, practice uniform, activity fee, insurance and processing. If you were not enrolled in the Fall-Spring season, a prorated amount will be charged for students only enrolled in summer camps and classes.
MAKEUP CLASSES: Two makeup “tokens” are given per child per class they are enrolled in for the year (August-May). This excludes summer programs, as there are no makeup tokens for the summer season. Email studentaccounts@championswestlake.com to access your makeup class tokens. If you know you will be missing a date of class, makeup tokens can be given ahead of time, not just after a missed class.
Due to time and space constraints of classes, additional makeup tokens will not be given for situations out of the gym’s control, such as inclement weather.
CANCELLATIONS: Cancellation request must be made through the customer portal or emailed to student accounts before the 1st of the month in order to stop the auto-payment for the following month. You will receive a confirmation from Student Accounts after the request is made. Once tuition is drafted on the 1st of the month, it is non-refundable. Verbal notice or lack of attendance is not sufficient notice of intent to drop a program.

Summer Season (May – August)
$100 enrollment is only due for students not enrolled in the regular Fall/Spring season, as it is an annual fee that goes August-August. The first Summer tuition charge will be made to the card on file on June 1st, and the second charge on July 1st. The summer tuition has been calculated with free classes built in for considerations made on family vacations, outside camps, etc. that can cause absences moreso than in the regular season. For this reason, there are no makeup classes or refunds for missed classes. Students enrolling later in the Summer will have a prorated Summer tuition. Paid deposits and tuitions are non-refundable and have limited transfer options.

Additional Information
WE ARE CLOSED: Independance Day, Labor Day, Thanksgiving Break, Winter Break, Spring Break, Easter Sunday, and Memorial Day.
The gym will be open for classes on any holidays not listed above. Ex. Columbus Day, Indigenous Peoples Day, MLK Day, Presidents Day, etc.
Champions Westlake generally follows the Eanes and Austin ISD school calendars, including in circumstances of inclement weather. Champions 1826 will generally adhere to Dripping Springs ISD and Austin ISD. Please check our website or social media for up-to-date weather closings. Phone and email messages are checked periodically over extended breaks.
In situations where the gym closes due to inclement weather, makeup classes or tokens are not able to be offered due to time and space constraints of classes.
Competitive teams such as CRUSH Cheer, Xcel Gymnastics, and Trampoline and Tumbling follow seperated schedules. Please see your program director for the current schedule.
In the event that your child sustains an injury that prevents them from participating (per a doctor’s orders) for an extended period of time, you may either continue to pay tuition for the class in order to hold you child’s spot, or you may request an “Injury Drop of Enrollment” to Student Accounts.
If the injury occurs during a billing cycle, the tuition will be adjusted to $50, and the remaining balance will be credited to your account. The credit will be valid for up to six months. All tuition already paid is non-refundable.

FAQ
Any children enrolled in our preschool classes or camps must be fully potty trained to attend class. Our coaches and staff can direct them to the restrooms, but will not be able to help them undress or use the bathroom. Diapers and pull ups cannot be worn as an alternative to potty training. If your child is newly potty trained, please stay in the gym for the duration of their class in case they need any assistance using the restroom. Please reach out to the front desk at frontdesk@championswestlake.com for any questions or concerns regarding this policy.
**Parent Tot classes are the only exception to this policy, and children and toddlers may wear a diaper or pull up in this class with their adult in attendance.
Each class has its own drop-off and pick-up door to ensure the best and smoothest class transitions throughout the day. Please refer below for what door to arrive at for your child’s class:
Preschool and Parent/Tot: Front main entrance
Cheer: Front main entrance
Trampoline and Tumbling: Front main entrance
Tumbling: Side portico door
Ninja: Back side door (past the portico)
Gymnastics: Sliding glass doors (next to Trader Joe’s)
Once your child has checked in with their coach and placed any items they have in a nearby cubby, they’re ready for class! We ask that you drive slowly and do not park in, or block, the fire lanes located around the building for the safety of you and the athletes. If you have any further questions, feel free to reach out to our front desk staff for more information.
If you do not receive prompts for payment information, that means that you already have a card on file. We will process all current and future charges to this card, unless otherwise specified. If you would like to update the card on file, please do so through the Parent Portal (under “Payments,” then “Update Autopay”) or by calling our front desk at (512) 426-1990.
To create an account, please click the red “Parent Portal” button in the top, right corner of our homepage. “Create a new account” will be under member login at the bottom of this page. This adds you to the iClassPro class management software system, and the account will also serve as your “Parent Portal” where you can request future enrollments, manage payment options, and check payment history.
If you have created an account before, and do not remember your password or login, click the “forgot password” option on the Parent Portal login page. If the problem persists, please contact the front desk at 512-426-1990.
Similar to most school systems, we go by the athlete’s age as of September 1st
Please do NOT bring any sort of nut product into the gym as a precaution for anyone in our building who has any type of nut allergy, no matter how severe.
Parents or guardians are required to pick up their students as soon as class ends. A 10-minute grace period is permitted for occasional and unforeseen circumstances, and a late fee will be assessed at a rate of $1.00 per minute for the amount of time exceeding the grace period. We appreciate your regular and timely attendance.

Trial class fees will be applied towards tuition upon enrollment. Trial classes are non-refundable.

No refunds or adjustments are made for missed classes.
Our programs are grouped by age or experience/skill level depending on the program.

Long hair must be pulled back; boys typically wear a t-shirt and athletic shorts. Tumble and cheer students typically wear a fitted tank top and athletic shorts and need an athletic shoe. The following items are not appropriate for the gym: jeans, belts, gum, socks, skirts, zippers, jewelry, footed tights, button up shirts.
No. Bare feet allow more traction with the mat (with the exception of cheer and tumbling classes). Please place shoes, socks, jackets and all other personal items in the cubbies located against the back wall of the gym, upstairs and downstairs.
